Apotheplanner was developed from real pharmacy experience. It has been used in practice to manage workload, track progress, support professional development and bring structure to busy working weeks.

The original Apotheplanner physical planner was created as a practical solution for pharmacy professionals who wanted somewhere to organise tasks, record learning, plan goals and keep key development areas in one place. Since then, Apotheplanner has grown into a wider professional support system, including digital tools such as Smart Entry and ApotheScope.

Our aim is simple: to help pharmacy professionals plan better, reflect better and develop with purpose.

The Apotheplanner Physical Planner

The Apotheplanner physical planner is a dedicated pharmacy management and professional development planner designed to support organisation, productivity and reflective practice.

It includes space to plan priorities, record learning, track goals, prepare for reviews, note key deadlines and reflect on professional development. For foundation trainee pharmacists, it has been designed to sit alongside the NHS England Foundation Training E-Portfolio and the GPhC learning outcomes, helping trainees capture learning in real time before formally recording evidence in the required system.

The planner does not replace the NHS England E-Portfolio, GPhC guidance, supervisor feedback or local training requirements. Instead, it acts as a practical companion to help users stay on top of the year, identify gaps early and approach evidence building with more confidence.

Smart Entry

Smart Entry is Apotheplanner’s digital reflection and portfolio support tool for foundation trainee pharmacists.

The foundation training year can be difficult to navigate. Trainees are expected to collect evidence, reflect on practice, map activities to learning outcomes and use appropriate evidence tools, while also developing the confidence and judgement expected of a future pharmacist.

Smart Entry helps turn real experiences from practice into structured, usable portfolio-style entries. It supports trainees in thinking through:

  • what happened
  • what they did
  • what they learned
  • which GPhC learning outcomes may be relevant
  • which NHS England assessment activities the experience may support
  • how the experience could be developed into a stronger reflection or evidence entry

Smart Entry is designed to support honest, accurate reflection. It does not invent experiences, exaggerate evidence or replace professional judgement. The trainee remains responsible for checking, editing and ensuring that anything submitted to their E-Portfolio is accurate, anonymised, appropriate and reflective of their own practice.

Smart Entry helps trainees make better use of the learning they are already getting in practice. A consultation, intervention, medicines query, clinical discussion, error reflection or teaching moment can all become valuable evidence when captured properly.

The goal is not to create more work. The goal is to help trainees recognise the value in the work they are already doing.

ApotheScope

ApotheScope is designed for pharmacists and pharmacist independent prescribers who want to define, develop and evidence their scope of practice.

As pharmacists take on more clinical responsibility, it is essential to work within competence, understand professional boundaries and plan development carefully. ApotheScope helps pharmacists think clearly about where they are now, where they want to develop, and what evidence, learning and governance they may need to support safe expansion of practice.

ApotheScope can support pharmacists with:

  • defining current scope of practice
  • identifying clinical areas of confidence
  • recognising limitations and development needs
  • planning CPD and further training
  • recording reflective practice
  • considering risk, escalation and governance
  • preparing for new services or prescribing roles

For independent prescribers, ApotheScope is intended to support safe and thoughtful scope development. It is not a shortcut to competence and does not replace formal training, supervision, indemnity requirements, local governance, GPhC standards or employer policies. Instead, it provides a structured way to think, plan and evidence professional growth.
